POSITION SUMMARY: The Receptionist & Guest Services Assistant position provides hospitality to visitors at the SNJM Province office and assists guests needing overnight accommodations at one of three Marylhurst campus locations. This position is responsible for scheduling the use of meeting space across the campus and assisting with general administrative duties and clerical support.


  1. Provides hospitality to visitors including greeting, welcoming, and directing them appropriately.
  2. Responsible for all general Province emails and phone calls.
  3. Inventories and orders kitchen supplies, office supplies and oversees general upkeep of project room, including copy machine and postage machine. 
  4. Maintains a welcoming environment at the Province office and guest accommodation buildings.
  5. Assists with mailings, deliveries, and performs other clerical tasks.
  6. Coordinates hospitality, meeting setup, housekeeping and meals for on-campus guests.
  7. Coordinates guest accommodation requests.
  8. Manages booking requests for all Province meetings and accommodations.
  9. Assists as needed with travel arrangements, and special needs for Sisters and guests attending on campus meetings.
  10. Assists PLT Executive Assistant with Province events, including but not limited to the coordination of vendors,   caterers, hotels, transportation, and event registration.

Education:      High School Graduate or GED.

Experience:    Minimum of 2 years office related experience.

Skills, Knowledge and Abilities:
    1. Must be supportive of the mission of the Sisters of the Holy Names of Jesus and Mary.
    2. Must model SNJM Guiding Values in carrying out work activities and responsibilities.
    3. Must be able to respect and maintain confidentiality of sensitive information.
    4. Exceptional interpersonal, organizational, and verbal communication skills.
    5. Demonstrated skill with writing and editing in English, including proficiency in grammar, spelling and punctuation.
    6. Proficiency with Microsoft Office software, Adobe Acrobat Pro.
    7. Flexibility and adaptability to different situations and changing priorities.
    8. Enjoys working with people; able to welcome guests and assist them as needed.
    9. Ability to work both independently and as part of a team.
    10. Ability to analyze and prioritize work assignments.
    11. Able to problem solve and offer solutions.

HOURS: Full-time; 40 hours per week.

EQUIPMENT USED:  Personal computer, keyboard, mouse; office telephone/voice mail system, printer, and postage machine.
