Accounting Clerk

About This Role:

The Accounting Clerk is responsible for the day-to-day accounts receivable functions of the organization in accordance with current acceptable accounting principles and as may be directed by the Controller or Chief Financial Officer. The Accounting Clerk is also responsible for various General Ledger journal entries and reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Accounts Receivable (50%)

  • Creates and sends out invoices for various leased properties, following up on outstanding payments and overdue accounts.
  • Creates check deposits in the accounting system and processes deposits at banking institutions.
  • Enters salary, pension, and social security direct deposits into appropriate bank accounts and confirms information with existing documentation.
  • Adheres to month-end and year-end cut-offs, utilizing knowledge of accounting mechanics and coding for accounting periods.
  • Responds to AR-related inquiries from members of the SNJM community and public.

General Ledger (20%)

  • Performs bank reconciliations for income-related accounts.
  • Prepares and enters/imports journal entries.
  • Assists with month-end and year-end close processes.

General (30%)

  • Participates regularly in personal professional development activities to maintain up-to-date knowledge of theory and practice.
  • Filing of both digital and physical documents.
  • Cross-trains in various finance department functions.
  • Attends staff meetings and other designated meetings for the department and organization.
  • Performs other duties as assigned by Controller and/or Chief Financial Officer.

Education: Associate’s degree or equivalent from a two-year college or technical school, or equivalent combination of education and experience.

Experience: Minimum five years’ experience as an Accounting Clerk or similar position, preferably in a not-for-profit organization.

Skills, Knowledge and Abilities:

1. Must be supportive of the mission of the Sisters of the Holy Names of Jesus and Mary.

2. Must model SNJM Guiding Values in carrying out work activities and responsibilities.

3. Ability to work well with others, to communicate effectively and clearly.

4. Possesses experience with integrated accounting programs, preferably SAGE Intacct or comparable accounting software.

5. Proficiency with Microsoft Office Suite. Intermediate Excel skills preferred.

6. Ability to perform accounting tasks with high degree of accuracy with detailed information.

7. Possesses strong verbal and written communication skills.

8. Mathematical and problem-solving abilities.

9. Ability to track and manage a number of routine and non-routine tasks with thoroughness and timeliness.

10. Ability to use tact and good judgment in responding to a variety of personalities and situations.

11. Demonstrates the ability to maintain confidentiality of departmental records.

12. Ability to work independently while keeping the Controller informed on project/assignments.

13. Ability to handle multiple assignments simultaneously and to effectively prioritize in dealing with time constraints.

14. Ability to read and comprehend simple instructions, short correspondence, and memos and to write simple correspondence.

15. Ability to effectively present information in one‑on‑one and small group situations to Sisters and other employees of the organization.

16. Possesses flexibility and the ability to work in a changing environment

HOURS: Full-time, 40 hours per week Monday through Friday.
PAY RATE: $25.50-$28.00/hr DOE
